Key ideas in Excel for Accounting
- Keeping inflows and outflows in separate columns eliminates confusing plus/minus signs
- Dedicated Debit and Credit columns allow clean Excel formulas to sum each direction independently
- Mixing positive and negative numbers in one column makes typo detection and formula building much harder
- Accounting format aligns all decimal points vertically for clean column reading
- Typing raw numbers without formatting often leaves decimals jagged across the column
- Storing numbers as text prevents Excel from treating them as math-ready values
- A running balance formula takes the prior row's balance and applies the current row's activity
- Debits (money received) are added to the previous balance
- Credits (money spent) are subtracted from the previous balance
- The small square at the bottom-right of a selected cell is the AutoFill handle
- Dragging the AutoFill handle detects patterns like dates or incrementing codes without manual retyping
- Freeze Panes (specifically Freeze Top Row) locks header labels at the top of the screen
- Headers stay visible during vertical scrolling so columns remain identifiable deep in a sheet
- Merging cells prevents selecting and sorting single columns cleanly in Excel
- Center Across Selection visually centers text over multiple cells while keeping each cell independent
- Accounting format standardizes negative numbers by wrapping them in parentheses or showing them in red
